The Social Impact on Information: Why Your Dinner Doesn’t Matter

With a few taps and clicks, you can share the intimate details of the mouthwatering lobster bisque you just ate for dinner with a seemingly unlimited audience. Social media has the power to connect us with millions of people and facilitate the rapid exchange of information, but the ease of widespread communication has also influenced the definition of information itself. The way social media users treat information has taken the relevance and “social” aspect out of the communication equation. You’re not going next door to tell your neighbor about that incredible lobster bisque in person, but sending it out into the unknown with no real purpose or receiver now seems natural This isn’t information. Real information exists to benefit a recipient and doesn’t have a value on its own. Its value is materialized through its impact on an individual. Social media updates often lack a clearly defined audience and have fleeting relevance, yet they’re out there creating noise, and there’s no real way to regulate them. We rely on information from social media, which proves that our perception of information has changed to include the dated, irrelevant comments still floating around on these sites. But the world is in a constant state of flux, and information needs frequent updates too — especially in business, where change is constant and relevance is everything. Business owners need to recognize this social impact on information and work to create documents that serve a clear purpose for a defined audience. Otherwise, they face wasting valuable resources and creating a debilitating pattern of complacency. Create Information With Purpose People don’t think twice before posting about their dinner entrees because the medium literally exists at their fingertips. But business owners also fall victim to the social impact on information and create documents for the sake of creating them, rather than thinking about how they will benefit the end user Think about it. Are your design documents written for the sole intention of guiding the architect or the implementer? Are your job postings written so that potential candidates know what’s realistically expected of them or just so your HR team can check the right boxes? When information becomes part of a to-do list, business leaders can easily lose sight of the why behind a document, which can lead the reader astray. Information shouldn’t be created because it’s part of a process. Effective information is relevant and timely, puts the reader first, and speaks directly to him or her. Staying on Top of Information Just because you’ve created a clear document that guides a specific employee through a particular task doesn’t mean you can walk away from it forever. Failing to update material and relying on historical or outdated information can also stifle action and overall growth. Do you continue to store your test plans after they’ve outlived their usefulness? Or worse, are you designing them to support a prolonged lifespan or putting too much (or not enough) effort into writing them? As a software consultant, I can’t count the number of times I’ve shown up to a project site and been told to read outdated documentation. It was there mostly for historical reference because the code had shifted significantly from the original design. Then, I would receive tons of emails, change requests, and bug reports that also gave little relevant context to the project. The massive amount of “information” would not communicate what I needed to know, namely the current state, direction, and desired outcome of the project. The information was collected for the sake of the producer — not the consumer — and wasn’t updated. This attention to updating and relevance might sound absurd or be a colossal undertaking for the type of trash information polluting our social networks these days, but what about all that useful information strewn across our shared network drives at work? How can we possibly continue to manage that to ensure our information stays valuable? How do we approach information management so we can keep our information up to date while simultaneously spending as little time as possible maintaining this information? The rise of social media use has led to an expanse of perfectly useless information, including your lobster bisque. However, your documentation of processes and project history should not carry the burden of this unnecessary information. By focusing on pertinent and practical processes to create valuable information, you can promote effective communication that will resonate throughout your business.
